Independently coordinate and facilitate routine meetings, plan and coordinate complex onsite/offsite meetings, coordinate travel arrangements, expense reporting, leading administrative projects, coordinating interviewing, on-boarding and space planning. Will also be responsible for transcribing and distributing meeting minutes, developing management reports with other stakeholders, tracking personal projects (i.e. budget, database, timelines), as well as demonstrating the ability to interact with outside vendors and various levels of management. Creation of internal communication campaigns on intranet website, site TV screens, and Yammer. Coordinate technical requirements of meetings including projector, laptop, and teleconference requirements. Should be organized, reliable, and respond promptly to requests. Contributes to process improvements and developing solutions to establish best practices. Applies experience and judgment in making decisions or resolving issues.
 
Assist HR Director and Manager with the following:
  • Administrative help (calendar, travel, expense reports, budget tracking, setting up meetings, attending meetings and scribing minutes, etc.)
  • Creation of Excel Spreadsheets (HR related content, metrics, reports, etc.)
  • Creation of PowerPoint Presentations (HR related)
 
Assist HR Manager with the following:
  • Logistics, scheduling, and coordination of the Summer Intern Program and the College Hire Rotational Program
  • Creation of Communication articles, stories, slides and advertisements for the Intranet site, Site TV Screens, and Yammer.
 
Assist HR Director with the following:
  • HR work related to the Woburn, MA facility.
  • Worker must be organized and have the ability to work with people of all different levels including Executive Leadership. Proficiency with Microsoft Outlook, Excel, and PowerPoint is a must. Ability to keep information confidential is imperative. HR experience is a plus. Someone who had already worked at ARI would also be a plus.
 
Skills:
 
Professional administrative experience, preferably in Human Resources; strong working knowledge of MS Office Suite (Especially Excel and PowerPoint) and file sharing software (SharePoint, box); ability to maintain and handle confidential information; must be well organized and able to prioritize workload, multi-task and work well in a team environment; must have excellent written and oral communications skills; must be detail oriented and have excellent proof reading skills; comfortable using multiple computer systems; able to facilitate team meetings; able to shift gears and be comfortable with ambiguity, must be able to recognize priorities, proactive in thinking and able identify potential issues, track action items, provide ongoing communication to team to stay on track, and look for areas of continuous improvement. Perform tasks independently with minimal supervision.
 
Preferred Skills:
 
  • Previous Human Resources knowledge or experience.
  • Previous experience at Amgen.
