Summary:
Organized, good attitude, willing to learn and take on new challenges, someone that has previous electronic work order processing experience (possibly with Maximo), has worked around Good Manufacturing Practice (GMP) procedures and systems, can work well in a team environment, good communication with multiple forms of communication.

The Senior Facilities Coordinator is responsible for independently administering and coordinating the Work Order Process. The position acts as liaison between work groups of Managers, System Supervisors, Quality Assurance, engineers and maintenance craft team leads in matters regarding the Work Order process and documentation. Administer and maintain the Computerized Maintenance Management System (CMMS) database for applicable area(s). The position requires monitoring the systems for any new work orders. The position ensures work orders comply with cGMP before routing through the system for processing. Produce and distribute regular and custom reports to provide records of Work Order activity, equipment history, and other CMMS information necessary to manage operations. This position will support the work order planning and scheduling functions. Conduct periodic audits of Work Order Administrator in data entry, file maintenance, and other tasks.
Provide orientation, training, and act as lead for other Work Order Administrators/Coordinators in data entry, file maintenance, and other tasks

Functions of this role include:
  • Manages incoming Work Requests from SuiteReq.
  • Ensures all mandatory fields are populated on the work order prior to routing.
  • Ensures correct work type is selected on the work order prior to routing.
  • Reviews and ensures fields are completed in the work order system; work scope, rationale, approvals, changes to appropriate equipment/systems and re-qualification activities
  • Routes work orders electronically routed via Workflow.
  • Routes paper work orders for approvals per Appendix A of this procedure.
  • Executes tasks on Administrative (AAE) work orders crafted to WOA.
  • May Utilize Maximo Data Import / Export tool during the execution of AAE work orders
  • Ensures that data entry changes comply with requirements listed in SOP-016307, CMMS Data Management
  • Review Work Order completion documentation, attachments, signatures, and dates and communicate with appropriate parties to seek clarification/completion
  • Maintain Work Order documentation of all maintenance, repairs and modifications to all physical equipment, system, and facilities
  • Generates Preventive Maintenance work orders.
  • Manages Labor Groups within the CMMS.
  • Enters and updates data within the Maximo database for Locations, Assets, PMs and other modules per applicable AAE work orders and as outlined in this procedure.
  • Prints new asset tags when new assets are entered into the system and forwards to Owner or applicable staff member to place on asset.
  • Processes, scans, and attaches attachments electronically to work orders as appropriate.
  • Link archiving, as well as, providing customer service support for the Facilities Service Operations Center
  • Manages disposition of paper work orders and / or attachments.
Basic Qualifications
Associate’s degree and 4 years of Facilities Maintenance experience
OR
High school diploma / GED and 6 years of Facilities Maintenance experience

Preferred Qualifications
  • 3+ years’ experience in a maintenance administrative role
  • Experience in use and administration of a computerized information tracking systems
  • Organizational skills, customer service skills, ability to lead change, ability to lead a team, excellent communication skills (written and oral) and ability to problem solve across functional units
  • A high degree of computer literacy and under minimal supervision, performs effectively within the established regulations and guidelines
