Summary of the Role
Join a big biopharma leader as a Business Center Coordinator, providing comprehensive onsite support at the Tampa location. In this vital site-essential role, you will support key leaders by managing events, projects, and daily administrative operations. Leverage your organizational skills, attention to detail, and proficiency with business collaboration tools in a dynamic, fast-paced environment.
Key Responsibilities
- Deliver administrative support to multiple executive directors, including calendar management, travel arrangements, and expense reports.
- Coordinate, plan, and support site events, including conference room scheduling, layouts, and technology requirements.
- Manage site resources such as storage, mail distribution, supplies, and the Business Resource Center.
- Serve as liaison to global facilities, site security, emergency services, and EH&SS teams.
- Maintain and organize office supplies, team tables, pavilions, and collaborative spaces.
- Support execution of the operational plan using varied communication tools and platforms (e.g. MS Teams, MIRO, SharePoint, newsletters).
- Uphold confidentiality and discretion with sensitive information.
- Coordinate with internal and external stakeholders for seamless event, project, and initiative execution, including food and beverage orders.
- Partner with corporate affairs to align with communication strategies and support key projects and community events.
- Provide support for the Business Resiliency Program and organize site orientation, tours, and external visits.
Required Experience & Skills
- Excellent organizational skills with ability to anticipate needs and prioritize tasks.
- Attention to detail, discretion, and sound judgment.
- Strong proficiency in Microsoft Office suite, MIRO, and other collaborative applications.
- Demonstrated ability to manage multiple assignments in a dynamic environment.

- Experience managing site logistics, resources, and events.

Day-to-Day Responsibilities
- Provide ad-hoc calendar support to three executives.
- Conduct daily rounds of space to ensure standards are met.
- Organize, sort, and scan all incoming mail and packages.
- Review and consolidate upcoming meeting room reservations using the internal meeting tracker.
Basic Qualifications
- Associate’s degree
- High school diploma / GED and 2 years of experience
- Certification that is directly related to the role and 2 years of experience
