Project Manager - Site Transition & Stakeholder Coordination
Location: Remote - Deerfield, IL (1 onsite visit required for initial orientation)
Schedule: Monday to Friday, standard business hours
Employment Type: Contingent Worker (Contract, W2)
Compensation: $65–$73 per hour (based on experience)
Contract Length: 2 months (possible extension)
Summary of the Role
Join a high-visibility integration initiative at a big biopharma leader supporting site transition readiness and stakeholder coordination. This senior-level, part-time contract role (estimated 25 hours/week) is designed for a seasoned professional who thrives in fast-paced environments with shifting priorities and ambiguity. The primary focus is driving structure, accountability, and communication across multiple cross-functional contributors and external stakeholders.
Important: This is not an IT Project Manager or Product Manager role. “Integration” in this context refers to people/process integration and organizational change management, not systems integration. The team is specifically seeking candidates with strong consulting-style execution, stakeholder engagement, and the ability to navigate sensitive or emotional resistance during change.
Key Responsibilities
- Track progress on outstanding tasks across multiple workstreams and cross-functional contributors
- Maintain clear, proactive communication between internal teams and external stakeholders (including tenants and core project team members)
- Maintain and update action-item logs including owners, due dates, status updates, and follow-up cadence
- Lead recurring internal project meetings, including agenda support, real-time meeting notes, decision tracking, and follow-ups
- Attend external stakeholder meetings and capture high-quality notes and next steps in real time
- Coordinate execution for site transition initiatives including amenities/services implementation and external stakeholder requests
- Identify process and communication gaps, recommending improvements to reduce friction and delays
- Provide light operational support as needed, including basic invoice/spend tracking (example: running totals across invoices)
- Support documentation workstreams as identified (example: SOP drafts, vendor service contract support, Facilities-related coordination)
- Ensure consistent, structured documentation and file management using SharePoint and Microsoft Office tools
Qualifications
- 5–7+ years of experience in project coordination, PMO/program coordination, consulting, or cross-functional project delivery
- Consulting experience supporting mid-to-large corporations strongly preferred (big firm consulting a plus)
- Demonstrated experience supporting M&A, integration, and/or change management initiatives (people/process change, not IT)
- Proven ability to drive follow-ups, maintain accountability, and keep complex stakeholder groups aligned
- Strong executive-ready written communication, meeting facilitation, and real-time documentation skills
- Highly proficient in Microsoft Office and SharePoint (Word, PowerPoint, Excel)
- Ability to work independently with minimal oversight while maintaining urgency and structure

Day-to-Day Responsibilities
- Coordinate recurring cross-functional meetings and maintain clear documentation of decisions and action items
- Monitor completion of action items across multiple contributors and escalate risks as needed
- Maintain visibility across ongoing requests, next steps, deliverables, and stakeholder alignment
- Support workstreams tied to site transition readiness, vendor coordination, and external stakeholder requests
- Provide light spend tracking support when requested (invoice tallying and running totals)
Hours / Availability (Very Important)
- Estimated 25 hours/week
- Schedule flexibility is required (daily start times may shift based on recurring and urgent meetings)
- Contractor must attend recurring calls including:
- Tuesday recurring call: 3:30 PM ET (2:30 PM CT)
- Wednesday recurring call: 1:00 PM ET
- Ability to join urgent/ad hoc calls same-day when needed
- This role is not a fixed-hours schedule (example: 8 AM–1 PM then signing off)

Basic Qualifications
- Doctorate degree
