Document Management Specialist

Tampa, FL

Location: Remote - Tampa, FL (EST/CST/PDT preferred)

Employment Type: Contingent Worker (Contract, W2)

Contract Length: 9 months (possible extension)

Compensation: $33 - $37 per hour (based on experience)


Summary of the Role

Join a global project team supporting payroll process mapping and documentation for a big biopharma leader. In this role, you will translate operational workflows into clear process maps, support facilitation with cross-functional subject matter experts, and deliver materials to improve process efficiency. Leverage technology, including AI tools, to drive improvements and ensure up-to-date documentation aligned to business needs.

Key Responsibilities

  • Map and document both critical and non-critical payroll processes, adhering to standard formats and guidelines.
  • Facilitate and support workshops with subject matter experts to capture and validate process flows.
  • Develop opportunity assessment readouts highlighting areas for efficiency, automation, and standardization.
  • Support process performance metric collection and collaborate on definition, tracking, and reporting.
  • Utilize AI tools (e.g., ChatGPT) to enhance documentation and generate structured materials.
  • Coordinate closely with process owners, document owners, and continuous improvement leads for end-to-end accuracy.
  • Incorporate feedback and updates as part of the review and finalization cycle.
  • Maintain deliverable tracking and provide regular updates to the project team and key contacts.

Required Experience & Skills

  • 3+ years’ experience in process improvement, documentation, or operational support roles.
  • Experience with process documentation and mapping tools such as Miro, Lucidchart, or Visio.
  • Proficient with Microsoft Office applications (Word, Excel, PowerPoint).
  • Demonstrated ability to effectively use AI tools (e.g., ChatGPT) in documentation and workshop preparation.
  • Strong facilitation and collaboration skills with experience engaging global or cross-functional teams.
  • Excellent verbal and written communication skills, with attention to detail.
  • Strong organizational and project support skills to manage multiple tasks and meet deadlines.

Preferred Qualifications

  • Familiarity with payroll, HR, finance, or supply chain process domains.

Day-to-Day Responsibilities

  • Participate in working sessions with Payroll SMEs to capture process details and exceptions.
  • Develop and update process maps using Miro, aligning with project conventions.
  • Draft and refine opportunity assessment readouts and workshop materials.
  • Prepare and support virtual workshop facilitation, including agendas and necessary documentation.
  • Leverage AI tools to draft documentation and summary notes.
  • Track and manage process documentation inventory, deliverables, and progress.
  • Assist in performance metric data capture and maintain alignment with reporting standards.
  • Provide weekly progress updates to the project manager/team.

Basic Qualifications

  • Bachelor’s degree
  • Associate’s degree and 2 years of experience
  • High school diploma / GED and 4 years of experience
