In this exciting role you will provide support to the AMA site, including but not limited to new hire onboarding and ongoing engagement, managing early career talent programs for the site, providing project management capabilities for large scale on-site or virtual site events, and support ad hoc initiatives or projects for the site with a focus on Diversity, Inclusion and Belonging, staff engagement, and talent development. You will partner closely with the site Diversity Council, Corporate Affairs, Strategic Planning and Operations, our internal Operations Talent Development (FUEL) team, University Relations, and Human Resources to enable us to achieve the overall site mission and goals. This role will report directly to the AMA HR Site Head.
• Early Career Talent Programs (30%):
o Responsible for implementation and program management of the local FUEL Emerging Talent Rotational program in alignment with the global FUEL framework and principles. This includes all operational aspects of successful program execution.
o Manage end-to-end participant experience through effective on-boarding, identification of rotational opportunities, coaching/human resources support, fostering a sense of community with participants, assignment of mentors throughout the duration of the program.
o Work with site leadership/site DI&B or Talent council and HRBPs to identify the right rotational opportunities for participants.
o Define and execute local recruitment strategy to attract diverse external participants.
o Manage local internship programs that are identified as feeder pools for the Emerging Talent Rotational Program.
o Coordinate execution of training curriculum and accomplishment meetings/presentations.
o Track participant progression during and after the program.
o Collaborate with global FUEL team on continuous improvement of the program.
o Collaborate with University Relations team, and establish local university relations in the region/area.
o Support the global FUEL team in execution of other FUEL programs (e.g., Operations Leadership Program and Future Operations Leadership Program).
o Report on program and talent success metrics.
• New Hire Onboarding & Engagement (30%)
o Plan, coordinate, and lead new hire onboarding for the site including owning the Buddy Program, distribution of new hire welcome letters, communications, scheduling, etc.
o Continually work to improve and innovate to ensure a positive onboarding experience for site staff, whether virtual or on-site.
o Interface with regional sites on wellness programs and initiatives to engage staff.
o Provide guidance and basic support, as needed, for onboarding/offboarding.
• Project Management for Site Initiatives and Events (20%):
o Provide oversight for the planning/execution of both internal and external events (staff engagement events, site-wide team building, staff appreciation opportunities).
o Serve as point-of-contact for the management of specific events at AMA.
o Coordinate and organize on-site and/or virtual conferences, seminars, and all-staff events. This may include interfacing with several internal and/or external presenters and speakers, travel arrangements, accommodations for guests, conference room scheduling, catering, video or teleconferencing needs and appropriate and timely announcements.
o Support AMA Employee Resource Group (ERG) leads with event management and logistics to help reinforce site engagement and provide visibility to cross-site activities.
o Schedule and support cross-site video and teleconferences and work with AV technicians to ensure effective meeting presentations and communications.
o Assist with the planning, content collation, execution and follow-up for site all-staff meetings
o Maintain internal site event calendar.
• Ad Hoc Initiatives and Projects (20%)
o Provide support for managing the Site Budget, including forecasting, tracking, and partnering with Site Strategic Planning and Operations (SP&O) Lead and HR Site Lead, Finance, and AMA Site Head to ensure site needs are being met.
o Assist the AMA senior leadership team in planning and coordinating guest speaker visits, consultants, and candidate interviews. This may include assisting with operational elements such as expense reports, payments, and reimbursement for vendors and visitors.
o Support AMA senior leadership team with scheduling and coordination of AMA SLT, AMA XLT, and other large site leadership or scale meetings and events at the site.
o Support the External Outreach Committee (EOC), ERGs, and affinity groups with external speaker onboarding and payments, as well as additional ad-hoc EOC activities.
o Serve as POC for day-to-day site and operational questions from staff.
• Minimum of 2 years in a talent acquisition or general HR operations or HR development role
• Minimum of 2 years exposure to providing customer services to internal clients at multiple levels of an organization
• Minimum of 2 years of experience with program management
